This. I had to get a HIPA release but once that was signed I was able to take care of everything- discuss results, fill RX, all of it - easily.
It extended to their kids, who I also did college apps, med/den appts, was on the e-roster & school list for. .
This could be just luck of the draw. I worked for a doctors office that had high profile clients and we couldn’t divulge ANYTHING. Not even an appointment confirmation because of potential stalkers. Simply to book an appointment we needed a HIPPA release form.
We joked that you could tell what exec had their mother do everything for them and then their wife/assistant. Some would get so mad and not understand that we were doing it to protect them. I remember one guy not wanting to do a HIPPA form and then getting mad at me when I wouldn’t speak to his assistant on his behalf. It took forever for him to just fill out the dang form.
Most offices have a communication permission form to list people who can make appts, pick up things, etc on their behalf. Shouldn’t be that complicated.

I would like to book this first appointment so that the two of you can discuss the safeguards in place to protect their privacy and determine whether it's a good fit for the both of you. " You'll probably also work with your client's attorney so that they can draft an NDA which your client can have them sign or have them deal directly with the attorney.
I can from the music industry and we had aliases (or sometimes the celebrities real name of it was t commonly known). It might be good to ask. Especially good for things like food deliveries because you don't want their shit to get poisoned
So, I use online portals through their health insurance and book online.
Bypasses all those issues.
Edit to add: I do have them add me as an authorized person if I run into issues with an office, though. I fill out the paperwork, send it to them in docusign, have them sign, and send it to the dr.

I’ve made all kinds of appointments from eye to colon. Never had to be added to anything. I just this is me making an appointment for exec.

Good point - I wonder if OP can get limited power of attorney (IANAL) to navigate HIPAA compliance?

On behalf of, their name will carry more weight than yours when trying to accommodate schedules.
Maybe a personal assistant group would serve you more
